PflichtPilot preserves evidence chains.

Not tasks. Not reminders. Not calendars.

Document duties, keep proof structured, and preserve traceable evidence over time for operator obligations, inspections, and maintenance.

Why structured documentation matters

Evidence often gets lost
Documentation is often scattered
Chronology is hard to reconstruct later

PflichtPilot structures documentation chains so that evidence remains traceable later.

Problem

Projects fail quickly. Operations fail gradually.

At the outset, documentation is typically structured — driven by delivery and acceptance requirements.

Over years of operation, it fragments: files disperse, responsibilities shift, and evidence becomes difficult to retrieve.

When scrutiny arises — audit, client request, insurer inquiry, regulatory review or dispute —

stating “we perform this” is insufficient.

The decisive question is: Can it be demonstrated — consistently, over time?

For many operators and SMEs this concerns operator obligations, maintenance documentation and inspection records.

In practice these records often exist — but are scattered across folders, emails and spreadsheets.

PflichtPilot structures these duties and their evidence so that maintenance records, inspection documentation and compliance evidence remain traceable over time.

Evidence logic

How PflichtPilot works

1
Create duty
Title, risk, due date — documented.
2
Upload evidence
PDF, photo or screenshot — with timestamp.
3
Export and present evidence
Evidence stays chronological and can be presented clearly in critical situations.

Folders store files. They do not enforce continuity.

Common structural failures:

Scheduled duties drift when closure timing alters the rhythm

Historical cycles remain unlinked

Evidence quality remains opaque

In critical situations, reconstruction replaces structured presentation

PflichtPilot does not address storage. It addresses provable continuity over time.

What PflichtPilot delivers

Scheduled (monthly / yearly): a subsequent duty is created only upon deliberate archiving — never automatically in the background.

No drift: the next due date derives from the previous due date, not from the archive date.

Archiving without evidence is permitted — but transparent: warning + overview “X archived duties without proof”.

End schedule: scheduled duties may be intentionally discontinued.

Important: No reminder system. No calendar integration. No background jobs. Only structural evidence continuity.

What PflichtPilot does differently

PflichtPilot treats documentation as an evidence problem—not a storage problem.

The duty is the primary record
Not the document.
Evidence is attached and grouped
Everything relevant stays with the duty.
History stays traceable
Scheduled duties form a readable chain over time.
Archiving stays transparent
What was closed—and whether it was evidenced—remains visible.
Status is derived, not assumed
A defensible state based on what exists.
Export enables inspection readiness
A structured package instead of last-minute searching.

PflichtPilot is deliberately not a task manager

No reminders
No task lists. No automatic duty creation.
Instead
Documentation chains, proof continuity, and archived iterations.
Comparison between a to-do app and PflichtPilot with evidence chains

Documentation becomes evidence

When documentation is structured, it can later be exported as traceable evidence.

How PflichtPilot works

Who is PflichtPilot for?

SMEs and operators with inspection or maintenance obligations
Service providers accountable for documented performance
Positions where documentation is subject to audit or review
Operators of technical installations
Landlords with inspection obligations

Typical duties include maintenance records, inspection protocols, compliance documentation and operator obligations that must remain provable over time.

Liability / audit

PflichtPilot does not replace legal review, regulatory oversight, or professional advice.

It addresses a structural schedule risk: evidence degradation over time.

When the request is “Provide documentation covering the past years,” the requirement is not search — it is continuity.

Key concepts

Operator obligations
Operator obligations describe legal or contractual duties to inspect, maintain or document the safe operation of equipment, buildings or services. See operator obligations documentation and operator obligations checklist.
Maintenance documentation
Maintenance documentation records when inspections, servicing or checks were performed and which evidence exists for them. See maintenance documentation and maintenance proof documentation.
Inspection records
Inspection records document that required checks or tests were completed and provide traceable evidence. See inspection record documentation and inspection record retention.
Evidence continuity
Evidence continuity means that duties and their documentation remain chronologically traceable over long periods of time. Start with How PflichtPilot works and duty documentation.

FAQ

Knowledge about duty documentation: Go to knowledge hub · Operator obligations · Inspection obligations · Maintenance proof

How can maintenance records and compliance documentation be kept audit-ready over time?

Maintenance records, inspection reports and compliance documentation often need to remain traceable for many years. In practice these records are frequently scattered across folders, emails or spreadsheets. PflichtPilot structures such duties as chronological evidence chains. Each duty groups due date, evidence and archival state, creating a continuous documentation trail that can be presented immediately during audits, inspections or disputes.

Is PflichtPilot a task manager?

No. PflichtPilot is not a task manager. The focus is not personal task execution, but traceable duty documentation with proof and archiving over time.

Does it have reminders or a calendar?

PflichtPilot is not a calendar or reminder system. It structures due dates, archiving events, and duty progression so documentation-relevant processes remain traceable. The focus is proof, archiving, and chronological evidence chains — not personal reminder logic or calendar workflows.

How does the schedule work?

When you archive a duty, the system can automatically create the next occurrence with a new due date derived from the previous one. This prevents temporal "drift" by using fixed intervals. Every generated occurrence is logged so the sequence remains auditable.

Can I archive without proof?

Yes — archiving without proof is allowed. The app warns you before doing so, marks the entry as "archived without proof", and records such cases so you can review or add evidence later. This keeps the audit trail honest while allowing operational flexibility.

Can I end a schedule?

Yes. You can end a recurring schedule at any time, after that the duty remains archived and no further recurring instances are generated. The action is logged so auditors can see when and by whom the schedule was ended.
